Your online company profile is through the MyDMA2011 platform. Vivastream is the official social platform for DMA 2011 Conference and Exhibition, enabling one-to-one interaction before, during and after the event. Vivastream will suggest "Who to Know" based on your interests, profile, profession and skills. If you’re someone who is looking to connect with people more effectively at the events you attend, we think you’ll love Vivastream.

Go to your exhibitor profile and personalize it by adding a description of your company and filling in a list of topics relevant to your business. Updating your listing allows everyone at the event see the solutions, products, and topics you are there to help with. The first 5 topics, or categories, you list with your profile will be included in the Show Directory. The deadline to update your category information for the Show Directory is Wednesday, August 10th.

The DMA2011 Exhibitor Kit is available online.

Freeman has sent an email notice to all exhibitors with the link to the kit and you will also find the link on the Exhibitor Resources page of the DMA2011 web site – www.dma11.org.

Please bookmark this page for easy access to information on all show services. The online Exhibitor Kit is your ‘one-stop shopping’ site for information and order forms for all your show services.

You may easily navigate through the online kit by using the tabs located at the
top of the screen:

  • Show Information: A quick reference page that includes a link to Freeman’s Quick Facts, a list of all key Freeman deadlines and Show Contacts information.

  • Order Products & Services: Direct link to online ordering, plus Freeman’s ‘Ordering Wizard’ that will guide you through the ordering process.

  • Forms & Brochures: This page includes the following sections:
    • Show Management (DMA) Information

    • Freeman Services: Freeman services are broken out into separate sections – General Information, Shipping & Material Handling, Labor, Furnishings, Rental Booths and Audio Visual.

    • Other Vendors & Facility Forms: You’ll find information and order forms from all official DMA2011 vendor partners under this section – CompuLEAD (lead retrieval), floral and photography. Utilities and in-booth catering are through the center and this information is also under this section.

To download order forms and/or place orders online, you will need to create a Freeman account (if you do not currently have one). If you do not want to place show orders online, you may print out any necessary order forms, complete these and send via fax or mail for processing. Simply follow the prompts on the ‘Log In’ screen.

PREFERRED EXHIBIT HALL PASSES

Preferred Exhibit Hall Passes will be mailed mid-August. These Preferred Hall Passes may be used to invite clients and/or prospects to attend the Exhibition. Preferred Hall Passes also include admittance to conference Keynote Speakers. Use the passes to promote your participation and give your current and prospective customers a reason to attend DMA2011 – and, more importantly, stop by your booth.

Important Reminders:

  • Only those exhibitors who have booked all their hotel rooms through the DMA Housing Bureau are eligible to receive these passes.

  • Preferred Hall Passes are NOT valid for Exhibitor Personnel.

LEAD MANAGEMENT SERVICES

CSI, the official registration company for DMA2011, offers a number of lead management tools designed to help exhibitors connect with DMA2011 attendees and make the most of your exhibit investment.

Pre-Show: Trade show industry research finds that over 76% of show attendees have a pre-conceived “Buying Agenda” prior to a show. Add to this statistic: attendees at trade shows visit between 9.6% and 21.4% of their “target exhibits”. Exhibitors may begin to order the pre-show attendee list through TrafficMax after August 26, 2011. To ensure you capture the most names matching your selection criteria, place your online order as close to your mail date as possible. TrafficMax orders are processed in real time and include registrants in the DMA2011 registration database at the time of your order.

On-site: CompuLEAD lead retrieval products help you quickly and effectively capture and qualify sales leads on the show floor. The CompuLEAD Desktop is a convenient and reliable tool for recording and managing your leads. Leads are provided in printed form as well as in an electronic format! The CompuLEAD Mobile is a lightweight, hand-held device that requires no electricity (ideal for those exhibitors who do not have an electrical drop in their booths). And, the CompuLEAD Pro allows automatic transfer of sales lead information to your computer, real-time editing, unlimited note-taking, qualifiers, and survey questions.

Hotel information is available on the Hotel/Travel page of the DMA2011 site – www.dma11.org. From this site you may make individual reservations or reserve a block of rooms (up to 25 rooms). Listed below are the hotels and rates for the DMA2011 block.

Staying in the DMA2011 Block – it benefits YOU and DMA:

Because reserving within the DMA2011 block is so important, DMA provides added incentives to those exhibitors who book all rooms within the DMA2011:

  • Complimentary post-show attendee list – a $750 value.

  • Preferred Exhibit Hall Passes to distribute to clients and prospective customers. Passes will only be available to exhibitors booking through the DMA2011 Housing Bureau.

  • Additional 10% Priority Points for onsite space selection for 2012.

Make your hotel reservations by Thursday, August 25, 2011 to secure the special Conference hotel rate.

onPeak is the only official housing partner associated with Direct Marketing Association Annual 2011 Conference and Exhibition. While other companies may contact you offering housing, they are not endorsed by or affiliated with Direct Marketing Association Annual 2011 Conference and Exhibition.

Be careful before entering into a financial agreement with any unofficial companies (AKA "Poachers"), as their legitimacy and policies may be questionable and Direct Marketing Association Annual 2011 Conference and Exhibition or DMA will not be able to provide a resolution to issues related to such reservations.

REGISTRATION

REMINDER! Your space application confirms your company as an exhibitor in DMA2011. Badge registration for staff is a separate process.

Exhibitors may register staff online via the DMA2011 web site – www.dma11.org. The link is located under the Registration tab (click on Exhibitor Registration) or on the Exhibitor Resources page of the event web site.

CSI, our registration vendor, has sent emails out to the primary contact at each exhibiting company with the username and your specific password for online badge registration. If you wish to have each of your booth staff register themselves, please provide them with the assigned username and password for your company:

Through the online registration system exhibitors have the ability to:

  • Add new registrations
  • Check to see who is already registered from your company
  • Make corrections, changes and/or cancellations to existing registrations

Exhibitor Registration FAQs:

  • How many badges come with my booth? For every 100 square feet of booth space, exhibitors are entitled to 3 complimentary and up to 2 paid Exhibitor badges at $850 Member / $1099 Nonmember. Turnkey Booth Packages include 2 complimentary Exhibitor badges and 1 paid Exhibitor badge.

  • What is the cost to register additional ‘booth only staff’? If you have additional staff attending just to work as booth personnel, you may register these individuals for an “Exhibitor Hall Only” badge at $150 per person. There is no limit on the number of Exhibitor Hall Only badges.
  • What’s included in my Exhibitor badge? Exhibitor Conference badges include access to the Exhibit Hall, conference sessions and meal functions in the exhibit hall. Exhibitor Hall Only badges include
  • If I hire temporary staffers or plan to have a costumed character in my booth, do they need a badge? Yes, anyone working in your booth will need to be registered with a DMA2011 badge. You should save your comp Exhibitor Conference badge allotment for your company representatives who are also interested in attending sessions. These extra staff working only in the booth may be registered as Exhibitor Hall Only.

  • Will my badge(s) be mailed in advance? All badges will be available for pick up at the Exhibitor Registration Counter. Registration is located in the North Lobby of the Boston Convention and Exhibition Center (BCEC).

EXHIBIT HALL SCHEDULE

Exhibitor set-up begins on Thursday, September 29th for island booths and continues Friday and Saturday, September 30th –October 1st. All exhibit booths are to be set and ready by 6:00pm on Saturday, October 1st and the exhibit hall opens on Sunday, October 2nd.

Sunday, October 2nd, is NOT an exhibitor set-up day.

Exhibit hall hours for DMA2011 are.

Monday, Oct. 13 10:00am -- 5:00pm
Tuesday, Oct. 4 10:00am -- 5:00pm

The only official evening event during DMA2011 is Tuesday’s ECHO Awards Gala which offers exhibitors the opportunity to schedule evening networking events with customers on Sunday and Monday.

Plus there will be traffic-building events in the exhibit hall including the Passport to Prizes drawings. Listed below are the networking functions taking place in the exhibit hall.

OFF-SITE EXHIBITOR EVENTS

DMA2011 offers many opportunities for exhibitors to network with conference attendees – on the show floor, in conference sessions, over lunch and impromptu meetings. Many exhibitors are also interested in hosting private functions, ranging from small meetings with customers to more formal receptions and/or dinners. We know exhibitors want to maximize their time with attendees; however it is in the interest of all exhibitors that conference attendees not be asked to choose between spending their time at the convention center or at an offsite meeting or event.

With this in mind, DMA does have a policy regarding space release requests at hotels within the DMA block. DMA will not authorize events that conflict and/or compete with the official conference program and will not release space at the official conference hotels for that purpose.

Official conference hours are:  
 Sunday, Oct. 2nd 3:00pm -- 5:30pm
 Monday, Oct. 3rd 8:30am -- 5:45pm*
 Tuesday, Oct. 4th 8:45am -- 5:00pm
 Wednesday, Oct. 5th 8:45am -- 12:15pm

*Please note the revised conference schedule for Monday, October 3rd. A special Keynote Session has been added starting at 5:00pm, featuring Randi Zuckerberg, Director of Market Development for Facebook.

Exhibitor Meeting Rooms are available on the show floor for exhibitors to meet with customers on show days. If you are interested in reserving a meeting room, download the Exhibitor Meeting Room Request and return your completed form to us. These rooms are available on a first-come, first-serve basis.
